Deliver a lot
Hand a lot, or part of it, to a customer, warehouse or processor, and see what happens when the receiver is not yet allowed to receive lots.
A delivery moves a lot, or part of it, from one place to another: to a customer, a warehouse, a processor or an exporter. The receiver sees where it comes from, and the lot's story shows every handover.
Deliver all or part of a lot
- Open Deliveries and select Deliver lot. On a lot's page, use Deliver.
- Under What you deliver, choose the Lot and where it Leaves from. The form shows how much is Available here. To send more lots in the same truck, select Add another lot: see Delivering several lots.
- Enter the Quantity, or select All. You can type it in another unit, such as tonnes or bags: the form says how much will be recorded, for example "= 120,000 kg recorded". Whatever you do not deliver stays with you.
- Under Who receives it, choose the Recipient and their Delivery place.
- Under Paperwork, add a Document reference if you have one: an invoice, a delivery note or a transport document number.
- Add Notes for the approver if needed, then select Send for approval.
The check before you send
While you fill in the form, the console checks the delivery against your ledger's rules:
- Nothing blocks this delivery: you can send it.
- One more step is included: the receiver is not yet allowed to receive lots. Approving the delivery also allows them (see below).
- This delivery would be refused, with the reason: for example, the lot is on hold, past its expiry date, or a required certificate is missing.
A lot recorded in whole tonnes or bags, from before lots were recorded in kilograms, can only deliver whole tonnes or bags. If you enter part of one, the form says, for example, This lot was recorded in whole tonnes: it can only move whole tonnes, and does not send it. Select Record in kilograms first, then deliver from the new lot. See Units and quantities.
If the check cannot run, you can still send it: the approver sees the result before confirming.
After approval
In Deliveries, under Requests, the delivery reads Waiting for approval, then In progress while it is recorded, then Delivered. Once recorded, it also appears under Delivered, with the recipient, the destination and the day. The lot's Story shows the handover. Only the receiver can send the goods back, so check the recipient before you send it.
Waiting for allowlisting
Your ledger keeps a list of the accounts allowed to receive your lots. The first time you deliver to a new receiver, their account is usually not on that list yet. The delivery then waits for allowlisting: adding the receiver to the list.
- An approver confirms the delivery as usual.
- A-REX prepares the change "Allow ‹receiver› to receive lots" for your administration account.
- The owner gives the approval in Approvals, with the owner passkey.
- The delivery continues by itself. Nobody needs to send it again.
Meanwhile the delivery shows Waiting for the owner, and its steps say Waits until the receiver is allowed. This happens once per receiving account. See Waiting states and Your keys.
When the receiver has no account
Every party needs an account to receive lots. If the form says No account to receive lots, open the party in Parties and select Add account. A new account kept by A-REX is ready in about a minute; until then the form says An account is still being prepared.
