How do I correct a lot's information?

Fix a wrong name, lot code, quantity, date, origin or quality grade in a lot's information. The corrected version replaces the current one once approved, and the earlier version stays on record.

Correct a lot's information when something in it is wrong: a typo in the name, the wrong lot code, a harvest date entered a day late, a quality grade measured again. Nothing is erased. The corrected version replaces the current one, and the earlier version stays on record with the date, who proposed the correction and why, so buyers and auditors can see what changed and when.

Correct the information

  1. Open the lot from Lots.
  2. Select Correct information in the header, next to the lot's status.
  3. Correct lot information opens with the current values filled in. Change only what is wrong:
    • Name, Lot code and Description.
    • Stated quantity, in the lot's unit.
    • Variety, Grading standard and Quality grade.
    • Harvest or production date, Expiry date, Season and Production method.
    • Country of origin and Region of origin.
    • Under EUDR due diligence statement, the EUDR due diligence statement reference and the EUDR verification number, for example once the statement is submitted after the harvest.
  4. Clear a field to remove it from the information. Name and Stated quantity cannot be empty; removing the statement reference removes its verification number too.
  5. Say Why it is corrected, for example "Moisture measured again at the warehouse". It is shown in the lot's corrections.
  6. Check What will happen: each change reads as before → after.
  7. Select Propose correction.

It becomes an approval, "Correct the information of ‹lot›", that someone in your company approves in Approvals, like any other action. See Who can approve.

What changes once it is recorded

  • The lot page and everything that reads the lot's information show the corrected values.
  • Corrections on the lot page lists each correction, newest first: when, who proposed it, why and each field before and after. Open this version shows any earlier version as it was.
  • Automations and connected systems receive Lot information corrected.

What a correction does not change

  • The quantity held on the ledger. Stated quantity is what the lot's information says; to change what is held, process, split or deliver the lot. See Processing.
  • The dates recorded when the lot was registered. The lot rules, such as expiry, keep using those; only the dates shown in the information change.
  • The product and the origin site the lot was registered with.

When you cannot correct it

  • Correct information does not appear for a retired lot, or when your role cannot propose actions.
  • Only one correction of a lot can wait for approval at a time. Approve or reject the waiting one first; the form links to it.
  • A lot whose information was recorded outside A-REX cannot be corrected here.
  • Personal data is refused: the lot's information is public, so name a region, never a person or the address of a farm.
