How do I withdraw a certificate?
Withdraw a certificate that was replaced, issued by mistake or not confirmed later. It stays on record as withdrawn, and rules and buyers stop treating it as in force.
Withdraw a certificate when it no longer holds: the lab sent a corrected report, it was attached to the wrong lot, or a later check did not confirm it. Nothing is erased. The certificate stays on record as withdrawn, with the reason and the date, so buyers and auditors can see what changed and when.
Withdraw a certificate
- Open Certificates and select the On the lots tab. Use Search by lot code to find the lot.
- Find the certificate, open the menu at the end of its row and select Withdraw.
- In Withdraw this certificate, choose Why it is withdrawn: Replaced by a new certificate, Issued by mistake, The issuer asked to withdraw it, A later check did not confirm it or Another reason. With Another reason, say what happened in the details.
- Use Details (optional) to help the approver, for example "Replaced by report 114 from Laboratório Serra Azul".
- Select Propose withdrawal.
It becomes an approval, "Withdraw ‹certificate› from ‹lot›", that someone in your company approves in Approvals, like any other action. See Who can approve.
What changes once it is recorded
- The certificate shows the state Withdrawn under On the lots and in the lot page's Certificates and Story. It stays on record.
- Rules that require that certificate stop accepting the lot, for example for a delivery.
- Buyers and auditors see it as no longer in force.
To replace it, attach the new certificate with Attach certificate. See Certificates.
Who signs the withdrawal
A withdrawal is signed by whoever signed the certificate:
- Declared by your company: your company signs it.
- Recorded by your company for ‹party›: your company signs through the account it keeps for that lab or certifier, as it did when the certificate was attached.
- Signed by ‹party›: the lab or certifier signed from its own account, so it withdraws the certificate itself.
When you cannot withdraw it
- A certificate signed outside your company, by the issuer's own account or by an account that is not in your directory, can only be withdrawn by its issuer. The console says Only its issuer can withdraw it: ask the lab or certifier to do it.
- Withdraw does not appear for a certificate that is already withdrawn, or when your role cannot propose actions.
- To stop counting every certificate of one type from one issuer, stop trusting the issuer instead. See Trusted issuers.
