How do I put a lot on hold, mark it unfit or close it?

A lot's status says whether it may move. Change it when something is wrong with the goods or their papers: the lot then cannot be delivered or processed until you release it. Nothing is erased: every change stays in the lot's Story with its reason.

Change a lot's status

1. Open the lot from Harvests & lots and select Change status in the header, next to the lot's status. In the list, the same action is in the menu at the end of the lot's row.
2. Change lot status opens and shows the lot's status Now.
3. Under What should happen to it?, choose one:
   • Put on hold: stop it while you check something.
   • Mark unfit: failed quality, contamination or damage.
   • Close lot: consumed, sold to retail or destroyed.
   • Release: make it available again.
4. Under Why, choose the Reason, for example Waiting for lab results or Failed lab analysis. With Other, Details are required. Details are visible to your team and the approver, never on the ledger.
5. Check What will happen, then select the button, such as Put on hold.

It becomes an approval, for example "Put ‹lot› on hold", that someone in your company approves in Approvals. See Who can approve.

What each status does

• On hold: it cannot be delivered or processed until it is released. You can release it at any time.
• Unfit: blocked for delivery and processing. Customers who trace it see it as unfit.
• Closed: it can never move again, and it cannot be reopened. Its full history stays traceable.
• Available: after Release, it can be delivered and processed again.

During a recall

To stop every lot of a lineage, start from Traceability & recall: Start recall prepares the status changes for all of them, and an approver confirms each one. See Work out a recall's scope.

Close or remove from the records?

Close lot stops the whole lot for good, wherever its parts are. When only a quantity was lost, spoiled or destroyed, use Remove from records instead: the rest of the lot can still move. See Removing a quantity from the records.
