Set up your company
Fill in your company profile and legal home, invite your team with the right roles, turn on two-factor and see how approvals work.
Before your team records its first harvest, your company needs a profile, a legal home, people with the right roles and a second factor for everyone who can approve. It takes a few minutes, and you can change most of it later.
The setup walks you through it on full screen, before A-REX opens, in seven steps: Company, Products, Sites, Team, Keys, Ledger and Review. Your progress is saved as you go; Save and exit leaves it for later, and you continue where you left off. A-REX opens for the whole company when you select Finish and open A-REX. This guide covers the company, the team, finishing the setup and two-factor. Products, sites and keys have their own guides; a group of companies has its own setup first.
Your company profile
- Open the setup and go to the Company step. It comes first: the other steps open once it is saved.
- Enter the Company name your partners know.
- Choose the Country where the company is registered and, for the United States, the State.
- Optionally choose the Tax ID type of your country (CNPJ, CUIT, RFC, VAT number…) and enter the Tax ID. It is kept encrypted and never written to the ledger.
- Select Continue.
The name, logo, accent colour and default language can be changed later in Settings › General.
Your legal home decides how keys are held
The country (and state) you choose is your company's legal home. It decides which custody rules apply, which identifiers and units you see, and which reports are offered. It belongs to this company alone and is never inherited from your organization.
Custody means who holds the keys that can change your company's records. Where the law allows it, the owner chooses in the Keys step between Managed custody: A-REX co-signs (2 of 3) and Keys on your devices only (no A-REX key). Where managed custody is not allowed, only the second option is offered. You can choose until your ledger is prepared. See Jurisdiction & custody for the rules of your country, and Your keys for what each choice means.
Invite your team
Approvals need a second person, so invite at least one colleague.
- Open Members & roles and select Invite member, or go to the Team step of the setup.
- Enter the Email and choose the Role. The Team step offers Operator, Auditor and Admin; every role is offered in Members & roles.
- Select Send invitation. The person gets an email link to join.
In the setup, Continue moves on once you have invited someone, and Do it later leaves the team for later.
Pick the smallest role that fits: Operator to register and approve day-to-day work, Approver to approve without creating, Auditor to read and check, Viewer to read only, Admin to manage the team, the directory and the settings. Each role is explained in Roles. Use Change role or Remove from organization on a member's row. Changing members asks for your authenticator code.
Finish the setup
- Go to the Review step of the setup. It lists each step as Done, To do or Skipped.
- Select Change on a step to go back to it.
- Select Finish and open A-REX.
The company profile and both passkeys are needed, and so is a started ledger when A-REX prepares it; until then the page lists them under Still needed. Skipped steps stay in the setup list on Home. Until the setup is finished, other members see that the company is being set up. You can reopen the setup later, for example to pick more products.
Turn on two-factor
Owners, admins, operators and approvers must use an authenticator app. Until it is set up, the rest of the console stays closed to them.
- Open Your sign-in and select Set up authenticator.
- Enter your password, scan the code with your authenticator app and save the backup codes.
- Type the 6-digit code and select Activate.
To require it for everyone, set Two-factor authentication to Every member in Members & roles. Every approval asks for a fresh code in a Confirm it is you window.
How approval rules work
Nothing reaches the ledger without a person's approval. The rule is shown in the steps of every approval:
- One member with approval rights, other than the person who asked, gives the approval with two-factor. An owner may approve what they asked for themselves in the console.
- Changes prepared by A-REX operations, and changes to your administration account, are approved by the owner only.
- What automations propose is approved by owners and admins, unless the owner changes that in Settings › Automations.
- The owner can let low-risk actions, such as registering a harvest or a delivery between your own sites, be approved automatically. Actions proposed by automations or by other systems are never approved automatically.
